Privacy Policy

This policy explains what personal information MottoVate collects when you visit this website or use a MottoVate application, and what we do with it. We do not sell your personal information, and we do not use it for advertising.

1. Who we are

MottoVate Technology LLC ("MottoVate", "we", "us", "our") is a technology company in Valley Mills, Texas. This policy covers mottovate.com and the applications we provide ("Apps"). Where your organization has a written agreement with us, that agreement also governs how we handle your organization's data.

2. Information we collect

2.1 When you sign in

You sign in to our Apps with a third-party account, such as your Google account. Microsoft Entra External ID runs the sign-in on our behalf. From your sign-in provider we receive:

Your name
Your email address
An account identifier that your provider and Microsoft assign to you

We never see or store your password. Your sign-in provider and Microsoft keep records of sign-in activity (such as the time and IP address of a sign-in) for security.

2.2 Your organization's work

Our Apps are business tools. Access is by invitation: your organization's administrator, or MottoVate, adds you as a member of an organization. We store the information you and your organization put into the Apps - for example projects, work items, comments and documents - along with who created or changed it and when.

2.3 Notifications

If you turn on notifications in a mobile App, we store a device token so we can send them. You can turn notifications off in your device settings at any time.

2.4 Technical information

Our servers keep logs - including IP addresses, request times and error details - to keep the service running, secure and debuggable. We keep these logs for a limited time.

2.5 Cookies and browser storage

Microsoft sets cookies on its sign-in pages to keep you signed in. Our web Apps keep your sign-in token in your browser's storage (or your device's secure storage, in a mobile App) so you do not have to sign in on every visit. We use no advertising cookies and no third-party tracking. This website sets no cookies of its own.

3. How we use information

To sign you in and decide what you may see and do

To keep the Apps secure, prevent misuse and fix problems
To communicate with you about the service, such as changes to it or to this policy

3.1 AI-assisted features

Some features use AI models to work on content you or your organization direct them to - for example, drafting or carrying out work on a work item. The content needed for that task is sent to the AI model provider we use (such as Anthropic) to perform it. We do not use your content to train AI models.

4. Who we share it with

Your organization. Other members of your organization, and MottoVate staff working with it, see the work you contribute, according to their roles.
Service providers that run parts of the service for us, under their own security and privacy obligations: Microsoft (Azure hosting and Entra sign-in), Google (sign-in), AI model providers (AI-assisted features), Expo (mobile notifications) and GitHub (hosting this website).
The law. When required by law, legal process, or to protect the rights, property or safety of MottoVate, our users or others.
A business transfer. If MottoVate is involved in a merger, acquisition or sale of assets, subject to this policy.

We do not sell or rent personal information, and we do not share it for advertising.

5. Where it is stored

Our Apps run on Microsoft Azure in the United States. If you use them from outside the United States, your information is transferred to and processed in the United States.

6. How long we keep it

We keep your account information while you have access to an App. When your access ends, we delete or de-identify your personal information within a reasonable time, except where we must keep it to meet legal obligations, resolve disputes, or preserve your organization's record of its work (for example, who completed a task), as your organization's agreement with us allows.

7. Security

We encrypt information in transit (HTTPS) and at rest (Microsoft Azure's encryption), limit access to the people and systems that need it, and never store passwords. No system is perfectly secure; if an incident affects your information, we will notify you as the law requires.

8. Your choices and rights

You may ask to see, correct, export or delete the personal information we hold about you by emailing privacy@mottovate.com. We will verify your request, and where the information belongs to your organization's account we may involve your organization's administrator. We will not treat you differently for making a request.

8.1 California residents

Under the California Consumer Privacy Act, you have the right to know what personal information we collect, use and disclose (described above), to request its deletion or correction, and not to be discriminated against for exercising these rights. We do not sell or share personal information as those terms are defined in that law.

9. Children

Our Apps are for businesses and are not directed to children under 13. We do not knowingly collect personal information from children under 13; if we learn we have, we will delete it.

10. Changes to this policy

We will post any change here and update the date at the top. If a change is material, we will also tell you through the Apps or by email before it takes effect.
